Job Profile:

The Office Assistant will provide support to staff, and act as the first point of contact for clients and the general public.  This individual will ensure that any person coming into the office feels welcomed and that their information needs are met in a timely and efficient manner.  This includes providing reception services during office hours, and responding to questions and community services to callers and walk-ins.

The Office Assistant will provide ongoing administrative and clerical support, to include managing incoming/outgoing mail, managing the filing system, photocopying/faxing/scanning documents, organizing internal and external meetings, taking meeting minutes, and other duties as assigned. 

Throughout all duties, the Office Assistant will adhere to all health and safety policies and procedures, and other essential policies such as anti-discrimination, anti-harassment, and workplace violence policies, the Accessibility for Ontarians with Disabilities Act, and more.

In addition to compliance with all organizational policies and procedures, the incumbent is also expected to behave ethically, demonstrate competence in effective communication and team building, demonstrate effectiveness in working in a collaborative environment, and demonstrate confidence in decision-making and in building relationships.

 

Requirements:

  • High school diploma.
  • Clerical and office management experience preferred.
  • Experience working in a mental health environment is preferred
  • High level of competency in computer applications, particularly Microsoft Office Suite
  • Willingness to learn
  • Excellent oral and written communication skills
  • Excellent interpersonal and customer service skills
  • Excellent organizational skills
  • A satisfactory Vulnerable Sector Screening (Police Check)

 

This position reports to and is supervised by the Program Manager.
